The WVU Alumni Band, hereafter referred to as AB, is seeking letters of interest for position of Treasurer as outlined in the Bylaws. The Treasurer is an appointed position. The treasurer is a financial professional selected by the organization's leadership, rather than elected by the membership, to manage and oversee all financial activities. The appointment is based on the individual's qualifications, experience, and ability to effectively handle complex financial tasks and contribute to the organization's financial strategy and stability.
In addition to the role and responsibilities of the Treasurer outlined below, the candidate must have experience completing and filing Form 990-EZ and or Form 990.
Bylaws - Article 8, Section L, Number 4
Treasurer shall:
a. be a general member of the organization who is appointed by the Board from recommendations made by the vetting committee;
b. be a CPA or have a business degree and experience in accounting;
c. keep the financial books and records of the organization;
d. prepare financial reports as requested by the President and Board of Directors;
e. prepare and present a statement at each Board/Officer/Membership meeting and the annual meeting;
f. prepare (or coordinate with an independent CPA or CPA firm) all tax filings;
g. sign the State and Federal Income tax report;
h. have the availability to meet WVU Alumni Band deadlines;
i. copy the WVU Alumni Band President, Vice President, and Bursar on all electronic communication;
j. perform other duties as assigned by the President; and
k. maintain a continuity folder (electronic or hard copy) with all information about the office of the Bursar, including all Google Drive documents.
The Treasurer will work closely with the Bursar and the President. For your information and for clarity, the following are the duties of the Bursar.
Bylaws - Article 8, Section L, Number 5
Bursar shall:
a. be elected from the Board of Directors;
b. be able to attend all meetings or designate a backup;
c. be responsible for the funds of the organization;
d. maintain the checkbook and bank check card for the organization;
e. have signatory authority for the bank accounts along with one elected Officer;
f. pay all bills, including reimbursement requests, received by the organization;
g. maintain and present all requisition forms and purchase order records to the Board of Directors for approval before payment;
h. report to the Treasurer all distributions made on behalf of the organization;
i. deposit money promptly or give it to the Treasurer to deposit;
j. copy the WVU Alumni Band President, Vice President, and Treasurer on all electronic communications; and
k. maintain a continuity folder (electronic or hard copy) with all information about the office of the Bursar, including all Google Drive documents.
